These Terms of Service ("Terms") govern your use of the GolfAssist platform operated by GolfAssist Ltd, a company registered in England and Wales ("we", "us", "our"). By subscribing to or using GolfAssist, you agree to these Terms.
GolfAssist provides cloud-based golf club management software including, but not limited to: tee sheet management, point of sale, member and guest applications, AI-powered chatbots, analytics dashboards, staff rota management, pro shop management, lesson scheduling, and related services.
The service is provided on a software-as-a-service (SaaS) basis. We host, maintain, and update the platform. You access it via a web browser or mobile application.
GolfAssist is available in three tiers:
Prices are listed on our website at golfassist.ai and are exclusive of VAT. We reserve the right to change pricing with 30 days' written notice.
Subscriptions are billed monthly in advance via Stripe. Your first month is free. After the trial period, your chosen plan will be charged on the same date each month. You may cancel at any time — cancellation takes effect at the end of the current billing period.
Card processing for POS transactions is charged at standard Stripe rates, billed directly by Stripe to your connected account.
GolfAssist Intelligence features are included in every plan subject to the following fair usage limits, which reset daily at midnight UTC:

These limits are designed to accommodate normal club operations comfortably. The vast majority of clubs will never approach them. If usage consistently exceeds these limits, we will contact you to discuss options before taking any action.
No overage charges will ever apply. We reserve the right to adjust fair usage limits with 30 days' written notice.
You retain full ownership of all data you input into GolfAssist, including member records, transaction data, booking information, and communications. We do not sell, share, or use your data for any purpose other than providing the service.
You may export your data at any time via the dashboard. Upon cancellation, your data will be retained for 90 days, after which it will be permanently deleted unless you request otherwise.
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You are the data controller for member and customer data; we act as a data processor. See our Privacy Policy for full details.
We will notify you of any planned maintenance in advance. In the event of significant unplanned downtime, you may request a pro-rata credit for the affected period.
Support is provided by email for Lite and Pro plans, and by email with priority response for Club plans. We aim to respond within one business day.

The GolfAssist platform — including all source code, software, database schemas, user interface designs, icon systems, AI prompts and models, APIs, documentation, the GolfAssist name and logo, and all associated branding — is the copyright and intellectual property of GolfAssist, © 2026. All rights reserved.
Your subscription grants you a non-exclusive, non-transferable, revocable licence to use the platform for the duration of your active subscription. This licence does not transfer any ownership or intellectual property rights to you.
You may not copy, modify, reverse-engineer, decompile, disassemble, or create derivative works based on any part of the GolfAssist platform, its source code, its AI systems, or its design language. You may not scrape, extract, or replicate the platform's functionality, user interface patterns, or AI prompt engineering for use in any competing product or service.
Any feedback, feature suggestions, or ideas you provide may be used by GolfAssist without obligation or compensation.
To the maximum extent permitted by law, our total liability arising from or in connection with the service shall not exceed the fees paid by you in the 12 months preceding the claim. We shall not be liable for any indirect, incidental, consequential, or special damages.
AI-generated content (strategies, recommendations, staffing suggestions) is provided as guidance only and does not constitute professional advice. You are responsible for reviewing and acting on AI outputs at your discretion.
Either party may terminate the agreement at any time with 30 days' notice. We may suspend or terminate your access immediately if you breach these Terms, subject to reasonable notice where practicable.
We may update these Terms from time to time. Material changes will be communicated via email at least 30 days in advance. Continued use of the platform after changes take effect constitutes acceptance.
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
